The short version
We collect the information you give us so we can quote your pool and keep in touch about it. We don't sell your data. We don't share it with marketing networks. We use a small handful of vendors to run the site (hosting, email, e-signature, occasional AI assistance), and they only get what they need to do their job.
What we collect
- Contact info you provide: name, email, phone, the city you're in, and any details you share in the Pool Quiz, the configurator, or our quote and contact forms.
- Install address if and when we move from a quote into an actual install agreement.
- Site analytics — basic page views and what pages people read most. We do not run third-party trackers, ad pixels, or cross-site cookies.
- Email correspondence with us, kept for as long as it's useful for serving you.
What we use it for
- Replying to your quote or message and keeping notes from the conversation.
- Sending follow-up emails about your project (no marketing blasts).
- Generating contracts on docs.bcoolpools.com if you decide to move forward.
- Internal triage — for example, an AI assistant reads new quote requests and flags ones that look like fits for an immediate callback. The AI doesn't store or share your data.
Who we share it with
We use a small set of vendors to run the site. They only see what they need.
- Hosting: Cloudron, on a private server we operate.
- Email: Resend (transactional notifications) and our own ProtonMail mailbox.
- E-signature: Documenso (for install agreements only).
- AI services: Anthropic Claude (lead triage on new quote requests). No data is used to train models.
We do not sell your information. We do not share it with advertising networks. We do not enroll you in third-party email lists. If a law enforcement request requires us to disclose information, we'll comply with what's legally required and nothing more.
How long we keep it
Quote requests and contact messages stay in our records as long as the relationship is active or could reasonably be reactivated. If you'd like us to delete your records, email michelle@bcoolpools.com and we'll do it within thirty days.
Cookies
Our site doesn't set tracking cookies. Forms use cookies only to keep you logged into your own browser session if you've signed up for our Cloud (cloud.bcoolpools.com) — which is opt-in and not part of the public site.
Children
We don't market to or knowingly collect data from children under 13. Our customers are adults considering a backyard pool.
Changes
If we update this policy, we'll change the "Updated" date above and keep prior versions on request. Material changes get an email if you have a quote or install in flight.
